Privacy policy

Introduction
LockIn, a product of Hey Hud LLC, an Indiana limited liability company (“LockIn”, “we”, “us”, or “our”) is committed to protecting your privacy. This policy explains how we collect, use, disclose, and safeguard information when you use our service.
Users are responsible for ensuring their use of the service complies with all applicable privacy laws, including COPPA. LockIn provides tools; users are solely responsible for obtaining necessary consents and permissions, including parental consent for children under 13.
1. Information we collect
Leader account information. When you create an account we collect your name and email address, organization/church name, billing information (processed by our payment processor), and account preferences.
Student information. Users may upload student information including name, age, grade, contact information, family and emergency contacts, attendance records, and notes. Users are responsible for having proper authorization and consent (including parental consent for children under 13) before uploading student information.
Interest list. If you join our early-access list, we collect your email address and any survey answers you choose to share (role, ministry size, feature preferences).
Usage data. We automatically collect log files, device information, IP addresses, browser type, and pages visited.
2. SMS messaging program
Each ministry using LockIn runs its own text messaging program, under its own name and its own dedicated phone number. When you opt in through a ministry’s connect card, its roster, or a leader, you are opting in to messages from that ministry, sent through LockIn.
- What you’ll get. Night reminders and schedule changes, volunteer assignments (the Brief), attendance and pickup logistics, birthday messages, and one-to-one follow-up from a leader. LockIn does not send marketing messages on a ministry’s behalf, and does not use AI to draft message content. Most texts are written by a leader at the ministry. A few are scheduled reminders the ministry sets up in advance, such as the note that goes out before a gathering, using wording the ministry chose.
- How often. About one text a week during an active ministry season, usually the reminder before a gathering, plus occasional notes from a leader. Expect more around a one-time event like a retreat, camp, or mission trip. Ask your ministry leader if you want specifics.
- Cost. Message and data rates may apply.
- To stop. Reply STOP to a ministry’s number at any time to stop receiving texts from that ministry. It takes effect immediately.
- For help. Reply HELP to any message, contact the ministry directly, or email hello@lockin.church.
- Optional, always. SMS opt-in is never required to attend, register with, or receive any other communication from a ministry. Consent is collected separately from other consents and is never shared or sold.
This policy and the Terms of service govern every text sent through LockIn.
3. How we use information
- Provide, maintain, and improve the service
- Process transactions and manage accounts
- Provide customer support and send service-related communications
- Analyze usage patterns to improve the service
- Comply with legal obligations and protect the security of the service
LockIn does not use AI to generate message content and does not run automated content analysis over your conversations.
4. Data sharing
We may share information with:
- Service providers that help us operate: Supabase (database and authentication), Telnyx (SMS delivery), Resend (email delivery), Stripe (payments), and Vercel (hosting and analytics)
- Legal requirements — when required by law or to protect our rights
- Business transfers — in connection with a merger, acquisition, or sale of assets
- With your consent — when you explicitly authorize it
We do not sell your personal information.
5. Data security
We use appropriate technical and organizational measures to protect information: encryption in transit and at rest, access controls and authentication, and append-only audit logging on communications. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
6. Data retention
We retain information as long as necessary to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. If you delete your account, we delete or anonymize your data within a reasonable timeframe, except where retention is required by law.
7. Your rights
Depending on your location, you may have the right to:
- Access your personal information
- Correct inaccurate information
- Delete your personal information
- Export your data in a portable format
- Opt out of marketing communications
- Object to certain processing activities

8. COPPA compliance (children's privacy)
The Children’s Online Privacy Protection Act (COPPA) requires verifiable parental consent before collecting, using, or disclosing personal information from children under 13.
Users (ministry leaders) are responsible for obtaining parental consent. LockIn provides tools for leaders to manage student information; leaders are solely responsible for obtaining verifiable parental consent before collecting information from children under 13, maintaining records of that consent, providing parents notice about data collection, and complying with all COPPA requirements.
What may be collected about children (only when a leader uploads it — we do not collect information directly from children): name, age, grade, contact information, family and emergency contacts, attendance records, and notes.
How it is used: solely to provide the service to ministry leaders — student management, event planning and attendance, and communication tools. Shared only with the service providers listed in section 3 as necessary to operate the service. We do not sell children’s information.
Parental rights. Parents may request access to their child’s information, review it, request deletion, refuse further collection, or revoke consent — by emailing hello@lockin.church with the child’s name, your relationship to the child, and your request. We will verify identity before processing a request, which may require proof of parentage, government-issued ID, or contact with the ministry leader who uploaded the information.
LockIn is not responsible for user violations of COPPA. Users indemnify LockIn for claims arising from user violations of COPPA or other privacy laws.
10. California privacy rights
California residents have additional rights under the CCPA/CPRA: the right to know what personal information we collect and how we use it, the right to delete it, the right to opt out of its sale (we do not sell personal information), and the right to non-discrimination for exercising privacy rights. 11. Changes to this policy
We may update this policy from time to time and will post material changes here with an updated date. Continued use of the service after changes constitutes acceptance.
